Agent privacy notice

Record how the agent is described for data protection, and, where it applies, confirm that the agent’s own notice covers a landlord portfolio. The three portfolio options are in Privacy notice.

1. Why it matters

Applicants and tenants need to know who holds their information and how the agent is involved. The agent’s notice is what people are pointed to when the agent fully manages the let. Rent Logger stores the role and a URL or contact so that can be shown clearly.

2. On the agent

Complete Data protection when you add or edit the agent.

In the app

  1. Agents
  2. View Agents
  3. Add agent
  4. Data protection
  1. Agents
  2. View Agents
  3. Open the agent
  4. Edit
  5. Data protection
  • Data-protection role is how the agent is described in a landlord privacy notice. Joint controller is the usual case for a letting or managing agent who fully manages the let.
  • Privacy notice URL or contact is where people can read or ask for that notice.
  • Role explanation is optional.

3. On the portfolio

For a fully agent-managed portfolio, choose Agent’s notice covers this landlord on the Privacy Notice tab.

In the app

  1. Landlord Portfolio
  2. Open the portfolio
  3. Privacy Notice
  4. Agent’s notice covers this landlord
  • Tick the agent or agents whose notice covers this landlord.
  • Complete the five checks, then click Confirm agent notice covers this landlord.
  • This records coverage. It does not publish a Rent Logger document. The checks, and the other two portfolio options, are in Privacy notice.

4. Rent Logger model

If the portfolio uses the Rent Logger model notice instead, the agent still needs those data-protection fields before they can be named on the model.

  • On the agent form, Data protection is required to name this agent in a Rent Logger model privacy notice.
  • Completing the model itself is in Privacy notice.
