Connect Xero

A Manager account is required. Staff cannot open Business Settings, so they cannot connect Xero or change which organisations Rent Logger can use. After the connection is in place, link each organisation to its portfolios in Getting started.

1. Use the Manager account

Sign out of any staff login, then sign in as the Manager who owns the Rent Logger account.

In the app

  1. Business Settings
  2. Xero Connection
  • Business Settings is at the bottom of the sidebar. It is not shown for staff.
  • Stay on the Xero Connection tab. That is where you connect, refresh, and add or remove organisations.

2. Use one Xero login

Rent Logger connects to one Xero user. During connect, Xero lists the organisations that user can already open. Organisations that sit under a different Xero username do not appear.

Separate logins

Rent Logger cannot use this.

  • login AOrg 1
  • login BOrg 2
  • login COrg 3

One login

This is what Rent Logger connects.

one Xero login
  • Org 1
  • Org 2
  • Org 3
Each organisation stays a separate Xero subscription. One login is invited into each of them, then that login connects to Rent Logger.
  • If you sign in to Xero and the organisation menu already lists every organisation you want in Rent Logger, skip the next stage and connect.
  • If a second company, a director, or a bookkeeper uses a different Xero email, that organisation stays hidden until the chosen login is invited into it.
  • You still keep a separate Xero organisation for each company. Only the login is shared.

3. Give that login access in Xero

Do this in Xero, before you connect Rent Logger. Someone who can manage users on the missing organisation invites the email address of the single login. Repeat it once for each organisation that login cannot yet open.

  1. In Xero, open the organisation that is missing from the chosen login.
  2. Click the organisation name, then Settings, then Users.
  3. Choose Invite a user.
  4. Enter the name and the email address of the single login. Use that same email for every organisation.
  5. Give a Standard or Adviser role, and include permission to manage connected apps. A read-only user cannot connect Rent Logger.
  6. Send the invite.
  7. Accept the invite while signed in as that same Xero user. Accepting with a different Xero email attaches the organisation to the wrong login. Xero explains accepting an invite in Xero Central.
  • Check the result in Xero: sign in with the single login and confirm every organisation is in the organisation menu. If one is missing, the invite has not been accepted on that login yet.
  • Xero’s own menu names can change. If Users is not where you expect it, search Xero Central for inviting a user. The requirement does not change: one email must be a user of every organisation.

4. Connect in Rent Logger

Allow popups for Rent Logger. The connection opens in a Xero window, and this page stays locked until that window closes.

In the app

  1. Business Settings
  2. Xero Connection
  3. Connect to Xero
Connect to Xero
  • In the Xero window, sign in with the single login.
  • Allow access for the organisations you want Rent Logger to use. You can leave an organisation unticked and add it later.
  • When the window closes, the Xero Connection tab lists the organisations that were allowed.

5. Add or remove organisations

Stay signed in as the Manager. Organisations are changed on the same Xero Connection tab.

In the app

  1. Business Settings
  2. Xero Connection
  3. Add / Remove Organisations
  • Add Organisation opens Xero again so you can allow another organisation this login can already see. If the organisation is not in that list, go back to the invite stage and add the login inside Xero first.
  • The bin next to a connected organisation removes it from Rent Logger. Removing the last organisation disconnects Xero.
  • Refresh reloads the list from Xero without starting a new connection.
  • Disconnect from Xero ends the whole connection, not just one organisation.
  • If an organisation is still saved after Xero is disconnected, removing it asks you to confirm. Portfolios and properties that used it will have no Xero organisation, and automated invoices that were linked to it will no longer be linked. Move those portfolios to another organisation before you invoice again.
Disconnect from Xero

Each organisation keeps its own Xero subscription. What that subscription allows in Rent Logger is covered in Xero plans and what you can post.
