Ownership schedules

An ownership schedule is the dated record of who owns this portfolio, and in what shares. Add the owners first, as in Record owners, then create a draft and activate it.

1. Portfolio default and property overrides

The portfolio schedule is the default for every property. A property override replaces that default completely for that property, so the shares on the override must still total 100%.

In the app

  1. Landlord Portfolio
  2. Open the portfolio
  3. Ownership
  • Use Scope to switch between Portfolio default (all properties) and a named property override.
  • Create an override only when one property is owned differently from the rest. Enter the full allocation for that property, not a difference from the default.

2. Create a draft

New draft opens a schedule that stays inactive until you activate it. Set the dates and the arrangement first.

In the app

  1. Ownership
  2. New draft
  • Effective from is the first day this arrangement applies. Effective to is optional. Leave it empty while the arrangement is still current.
  • The end date is exclusive: an arrangement ending on 1 August applies only before 1 August. The next schedule can start on 1 August without overlapping.
  • Change reason records why this schedule exists, for example purchase, transfer, buyout, or correction.

3. Shares, types, and rounding

Each member is an owner you have already added, with a percentage. The percentages must total exactly 100%.

  • Share basis says what the percentages represent: legal ownership (who is on the title), beneficial ownership (who has the economic interest), or a recorded management split.
  • Sole owner is one party at 100%. Joint tenants own together, usually in equal shares. Tenants in common own in stated shares, which can be unequal. Company / partnership is for a company or partnership holding the interest. Other is for an arrangement that does not fit those labels.
  • The penny-rounding owner absorbs a remainder that does not divide evenly, so the total can still be 100.0000%.

4. Activate and record a change

A draft can be edited or deleted. Activate it when it should become the ownership record for those dates.

  • An active schedule is not edited in place. Use Record change to start the next draft from it.
  • When the new draft is activated, it becomes the current record for its dates. Earlier schedules stay on the list so you can see how ownership changed.

5. Preview who is effective

Preview date shows which active schedule applies on that day for the current scope. Use it to check a purchase date or a later transfer.

In the app

  1. Ownership
  2. Preview date
  • If a property override covers that date, the preview shows the override. Otherwise it shows the portfolio default.
  • If nothing is listed, there is no active schedule for that date in the current scope. Activate a draft that covers the day you are checking.
