Add an agent
Add an agent before you set up an agent-managed tenancy. The record holds how they collect rent, the contact used in Xero, and the privacy fields a portfolio may need.
1. Open Add agent
Create the record from the agents list.
In the app
- Agents
- View Agents
- Add agent
- Agents is a sidebar group. Open View Agents, then Add agent.
- Complete the form and click Create agent.
2. Agent types
Agent type is a label. It is used for display, filtering, and to suggest a commercial relationship when you first create the agent. It does not change how income is processed.
- Letting agent
- Property manager
- Short-term let management agent
- Guaranteed / fixed rent operator
- Platform (e.g. Airbnb)
3. Commercial relationship
This is the field marked Important. It defines how money flows between you and the agent.
- Agent collects rent (statement-based) is for remittance statements: gross rent, itemised deductions, and a net payout. Use Agent statement scanner for those PDFs.
- Guaranteed / fixed rent (invoiced to agent) invoices the agent for the agreed rent. There is no remittance statement for that income.
4. What to fill in
Required fields must be completed before you can create the agent.
- Required: Agent name, Agent type, Commercial relationship, Company type, VAT registered, and Main email.
- When VAT registered is Yes, VAT number is also required.
- Address, Xero contact details, and data protection can wait, but fill them before you create a Xero contact or name the agent on a privacy notice. See Create a Xero contact and Agent privacy notice.
5. After you save
The Connect to Xero wizard opens so you can link or create a contact. You can Skip for now and come back from the agent’s Xero tab.
- Linking a contact that already exists is in Connect to an existing Xero contact.
- Creating a new contact is in Create a Xero contact.
- Named people for invoices and optional email copies are in Additional contacts.
