Scan an HMO agent statement

Use the same upload as a single-let remittance when the PDF lists several rooms — typically an HMO let by the room — with one gross, one fee, and one payout. The single-let path is in Agent statement scanner.

1. When to use it

Start from Agent Statements and scan the PDF as usual.

In the app

  1. Agents
  2. Agent Statements
  3. AI Document Scan
  • PDF only, maximum 30 MB. Prefer the original PDF.
  • On review, if room rows are found, stay on the split path rather than treating the whole remittance as one tenancy.

2. Split and match rooms

On Review Extracted Statement, use Split by tenancy when room rows are listed.

  • Under Tenancies on this statement, match each row to that room’s agreement. A Matched by room and name badge means the match was automatic.
  • Costs printed against a room stay on that room. Fees on the total are shared pro rata.
  • Use Treat as a single tenancy only if the PDF should not be split. Rent and fees will not be divided across the rooms.

3. Statement period and rent periods

Two date ranges are in play on a split statement.

  • Statement period is the dates of the remittance. That period is used for Xero.
  • Each room has its own rent period for that tenancy’s rent account.
  • When the rooms and periods are correct, click Create multi tenancy statement.

4. In Rent Logger

The remittance becomes one group, with one row on the statements list and combined totals.

  • Confirming creates a draft per tenancy.
  • Approve statement on the group writes each room onto its own rent account.
  • Edit or delete the whole draft from the group page, not a single room.

5. In Xero

There is still one posting: an invoice and a bill plus the net bank movement, or Simple’s single bank transaction.
