Tenant portal

Documents that have a PDF are shown to tenants in the portal automatically. There is no separate Documents tab on the property. You add some files on the tenancy; others are linked from licences, certificates, and inspections.

1. What tenants see

In the tenant portal, documents are grouped as tenancy documents, property documents, certificates, and inspections. Only rows with a stored PDF appear in that list.

  • Uploading or replacing a PDF can notify tenants. Removing a file does not send a notification.

2. Automatically linked

These appear in the portal when the matching record has a PDF.

  3. Inspections
  • Property licences: Mandatory HMO Licence, Additional Licence, or Selective Licence. How to add them is in HMO and rental licences.
  • Current certificates with a PDF, using the type name you track — for example Gas (CP12) or Electric (EICR). Expired or voided certificates are not listed.
  • Tenancy inspections with a PDF: Original Inventory / Check-in, or Inspection Report.
  • The linked EPC rating is shown on property information, with a link to the GOV.UK register. It is not a PDF in the documents list.

3. Documents you add

Upload these on the tenancy Tenant Portal tab. PDFs only, up to 10 MB.

4. Property key information

The property Tenant Portal tab is text tenants read as property information — heating, meters, council, fire safety, and similar. It is not where you upload PDFs.
